Engagement Overview
We are seeking a seasoned Epic Refuel Program Manager (Consultant) to lead a large-scale post-implementation optimization (“Refuel”) initiative for a healthcare organization client. This role is responsible for driving measurable improvements in workflow efficiency, user satisfaction, and overall Epic system performance.
This is a hands-on leadership role requiring both strategic oversight and tactical execution. The ideal consultant has led prior Epic Refuel or optimization programs and can quickly assess current state, establish structure, and deliver results.
Key Responsibilities
+ Lead end-to-end Epic Refuel program execution across multiple applications.
+ Conduct rapid current-state assessment and define optimization roadmap.
+ Stand up governance structure, reporting cadence, and program KPIs.
+ Partner with executive, clinical, and operational stakeholders to prioritize initiatives.
+ Oversee cross-functional teams (analysts, builders, trainers, and SMEs).
+ Identify workflow gaps and drive high-impact improvement efforts.
+ Ensure alignment with Epic best practices and organizational goals.
+ Manage risks, dependencies, and program timelines in a fast-paced environment.
+ Deliver regular executive-level updates and actionable insights.
+ Drive adoption and change management strategies to ensure sustained improvements.
Required Experience
+ 8+ years of healthcare IT experience with deep Epic involvement.
+ Proven track record leading Epic Refuel / optimization programs.
+ Strong understanding of multiple Epic modules (e.g., ClinDoc, ASAP, Orders, MyChart, Willow, etc.)
+ Experience working in complex health systems or multi-entity environments.
+ Demonstrated ability to lead large, cross-functional teams.
+ Excellent stakeholder management and executive communication skills.
Key Deliverables
+ Refuel program roadmap and execution plan within first 30–45 days.
+ Established governance model and reporting structure.
+ Prioritized backlog of optimization initiatives.
+ Measurable improvements in workflow efficiency and user adoption.
+ Executive-level reporting on outcomes, ROI, and performance metrics.
